Services designed to be done in order

Each service connects to the next. The survey informs the summaries. The summaries inform the retainer. We do not skip steps.

How the work is sequenced

1

Survey

We visit your premises and document your existing systems, connections, and gaps. Output: a written readiness note.

2

Summaries

We build the job sheet process, fitted to your job types and invoicing system. A month of checked output is included in scope.

3

Retainer

Monthly checks, corrections, and a plain-language note. No minimum term. Your documentation stays with you.

The survey is a standalone service. You are not obliged to continue to the next stage. The readiness note is yours regardless.

Site Survey & Readiness Check

RM 127

A visit to see what you actually have: which systems hold your records, how they connect, what runs on one person's laptop, and where the internet drops out. Many small businesses discover the obstacle is not software choice but a spreadsheet nobody can open on two machines at once.

You receive a written readiness note listing what would need fixing first, in order of cost, whether or not you continue with us afterwards.

Connects to: your existing software, file storage, network setup, and staff workflow

What the visit covers

  • Which systems currently hold your operational records
  • How those systems connect (or don't)
  • Where the internet connection is unreliable
  • What staff roles are involved in record-keeping
  • What would need to change before AI tools could hold

Process

1Introductory call to understand your business type and schedule the visit
2On-site visit, typically 2–3 hours
3Written readiness note delivered within 3 working days
4Optional follow-up call to go through the note
On-site systems review

What you receive

  • Written readiness note (yours to keep)
  • List of prerequisites, in order of cost
  • Honest assessment of what AI tools could help with
  • No obligation to continue
Job notes and field records

What is included in scope

  • Your job types (mapped at start of engagement)
  • Your invoicing system (integration built)
  • One month of checked output
  • Flagging criteria document

Job Sheet Summaries

RM 410

For trades and service businesses where technicians write job notes on paper or in a hurry on their phones. Notes are turned into a consistent job summary with the work done, parts used and follow-up needed, ready for invoicing.

Anything the note does not make clear is flagged for the technician rather than inferred, since a wrong part on an invoice costs more than a question.

Scope covers your job types, your invoicing system, and a month of checked output.

Connects to: your job types, your invoicing system. Requires site survey completion or equivalent information about your setup.

Process

1Job type mapping — we document your categories and typical parts used
2Integration built for your invoicing system
3Flagging criteria established and shared with your team
4One month of checked output, with corrections noted
5Handover documentation prepared

Care Retainer

RM 632 / month

A monthly retainer covering everything we have set up for you. We check connections after your other software updates, review a sample of summaries for accuracy, apply corrections your team has logged, and track running costs against actual use.

Each month you receive a short written note in plain language. There is no minimum term, and if you leave, the documentation and configuration go with you in a form your next person can use.

Connects to: all services previously configured. Requires at minimum the Job Sheet Summary service to be in place.

— across all services

Standards that apply to all our work

Data handling

Job data is processed only to produce summaries. It is not retained or used for any other purpose.

Written documentation

Every engagement produces written output. We do not deliver advice verbally and expect you to remember it.

Tolerance-first reporting

We state accuracy expectations clearly before work starts. You know what the tools can and cannot do reliably.

Portability on exit

Configuration and documentation are maintained in formats you can take with you, always.

Cost transparency

AI tool running costs are tracked against actual use and reported monthly in plain language.

Flag, not guess

Anything unclear in a job note comes back for confirmation. We do not fill in details that were not written down.
